Fix Guide: Tahoe Mail Disappearing Messages
Symptom: Emails disappear from your inbox within seconds or minutes of arrival on macOS Tahoe, even though they're still visible on iPhone or iCloud.com.
Why this happens
macOS Tahoe 26.2 introduced aggressive local cache pruning to reduce Mail.app's storage footprint. A race condition between the new Smart Inbox categorization engine and the IMAP sync daemon can mark recently arrived messages as "processed" before they're fully indexed, causing them to vanish from local view.

Fix 1: Rebuild Mail Database
- Quit Mail.app completely.
- Open Terminal.
- Paste the following command:
rm -rf ~/Library/Mail/V10/MailData/Envelope\ Index*
- Restart Mail.app. It will re-download your mailbox structure (may take 5-10 minutes for large accounts).
Fix 2: Disable Smart Inbox Filtering
If messages only disappear from specific folders:
- Open Mail.app.
- Go to Mail > Settings > General.
- Uncheck Use Smart Mailbox.
- Restart Mail.app.
- Check if new messages now persist in your inbox.
Fix 3: Reset IMAP Cache
For persistent sync issues:
- Quit Mail.app.
- Open Terminal and run:
defaults delete com.apple.mail
killall cfprefsd
- Relaunch Mail and re-enter your email credentials.
Recommended Tool: MailSteward Pro
For critical email workflows where disappearing messages could mean lost business, MailSteward Pro automatically archives all incoming mail to a local, searchable database independent of Mail.app's sync logic. It's essentially a "time machine" for your email—even if Mail.app loses a message, MailSteward has it backed up.
